Best AI productivity tools

AI productivity tools fall into two groups. The first helps you remember: note apps and second brains that let you ask questions of everything you have saved. The second helps you do: workflow automation that moves information between apps without you copying it. The open-source ones here let you keep your notes on your own machine and choose which model sees them.

A second brain you can ask

Note tools with AI built in, and assistants connected to an Obsidian vault, turn a pile of notes into something you can query: what did we decide about pricing, where is that quote. They work best on notes you already keep; they will not make the habit for you.

Local-first tools keep the notes as plain files you own. That is worth a little setup if your notes include anything private.

Automation without the busywork

Workflow tools connect apps: a form entry becomes a row, an email becomes a task, a meeting becomes a summary in the right channel. The ones here add a model to the middle of the flow, so a step can read, sort or draft instead of just copying.

Start with one flow that annoys you every week. Automating a task you do once a month rarely pays back the setup time.

Meeting tools sit between the two groups: they transcribe a call and send the notes where they belong. Tell people when a meeting is being transcribed.

Questions

What is the best AI note-taking app?

It depends on where your notes live now. If you use Obsidian, the Obsidian helpers here are the shortest path. If you want a standalone app, look at the AI note apps and second-brain tools in the list.

Can AI manage my email and calendar?

With a Google Workspace or similar MCP server, an assistant can read and draft email and check your calendar. Give it the narrowest access that does the job, and review anything it sends.
